Terms and Conditions

1. Introduction

These Terms and Conditions govern the use of all services and facilities provided by The Relais Cooden Beach Hotel & Spa, including accommodation, dining, hotel services, and promotional offers. By making a reservation or utilising our services, you agree to abide by these terms.

2. Definitions

“Hotel” refers to The Relais Cooden Beach Hotel & Spa, its facilities, and staff. “Guest” refers to any individual or group using the Hotel’s facilities or services. “Booking” refers to the reservation of any service offered by the Hotel.

3. Bookings and Payment

All bookings are subject to availability and must be confirmed with a valid payment method. A deposit or prepayment may be required to secure reservations, as indicated at the time of booking. Payment methods accepted include credit cards, debit cards, and other specified methods.

4. Cancellations and Amendments

Cancellation terms vary depending on the type of booking and will be stated during the reservation process. Cancellations within 48 hours before arrival may result in forfeiture of deposits or full payment, depending on the offer or service booked.

5. Check-In and Check-Out

Standard check-in time is 15:00pm, and check-out time is 11:00am Early check-in and late check-out are subject to availability and additional fees.

6. Hotel Facilities and Services

Guests must adhere to the rules and guidelines of specific facilities, including dining, spa, and leisure areas. Facilities may operate under limited hours or availability, which will be communicated at the time of booking. The Hotel reserves the right to refuse service if safety, hygiene, or guest conduct standards are not met. Dietary requirements must be communicated at the time of booking. Service charge is added to all dining bills. Access to the beach and outdoor areas is weather-dependent. The Hotel reserves the right to restrict use for safety reasons. Menu items are subject to seasonal availability and change in price and ingredients. Events require a signed contract outlining payment schedules, guest counts, and cancellation terms.

7. Liability

The Hotel is not liable for loss, theft, or damage to personal belongings unless caused by negligence. Guests are responsible for any damages caused to Hotel property during their stay and may be charged accordingly.

8. Special Offers

Offers are subject to availability, and specific terms will apply to each promotion. These terms will be provided upon request or at the time of booking. All promotional offers are subject to availability and are valid only for the dates specified. Blackout dates and minimum stay requirements may apply.

9. Spa Services

Spa bookings are subject to availability as the Spa is a third-party supplier. Cancellations within 24 hours of the appointment may incur a full charge. Guests must notify staff of any health conditions before treatment. Advance bookings are required. Fitness room usage is complimentary for staying guests but subject to availability.

10. Privacy and Data Protection

Personal data collected during bookings will be used in accordance with our Privacy Policy.

11. Amendments

The Hotel reserves the right to modify these Terms and Conditions without prior notice.

Spa Treatments Due to the popularity of the spa, pre-booking spa treatments prior to arrival is essential. Please note that spa treatments are for guests who are 16 years or older.

Spa Attire We will provide you with everything you need for your spa experience including robes, slippers and towels. We request swimwear is worn throughout all wet areas, including the sauna and steam rooms. We ask that underwear is worn for all treatments - disposable underwear can be provided if preferred.

Behaviours & Etiquette We politely ask that you comply with our hotel and spa rules and dress codes, where applicable. We reserve the right to judge unacceptable levels of noise or inappropriate behaviour and ask for your compliance with our direction on these matters. Please be aware that any damage caused to the hotel property and/or premises or theft of hotel property will be charged to person concerned.

Mobile Devices We have provided a calm and quiet haven for you to relax and switch off, we therefore ask that you relax and switch off your mobile devices while in the spa.

Health Conditions Please let us know, at time of booking, of any health conditions, allergies, ailments or injuries. For those undergoing any treatment or care from your medical professional, we require an approval letter to ensure the treatments we provide are appropriate and safe. On arrival at the spa, you will be asked to complete a consultation form.

Pregnancy We offer specially designed treatments that are suitable during pregnancy. We are unfortunately unable to offer any form of body therapy during your first trimester and may request a letter from your doctor or medical professional prior to treatment.

Please also let us know if your pregnancy is a secret.

Payment Full pre-payment for all spa packages and treatments in excess of £100 will be taken at the time of booking.

Spa Treatment Cancellation We ask that you provide at least 24 hours’ notice prior to the start of your first appointment. Any appointment cancelled within 24 hours will be charged in full. For group bookings of 4 or more people, we ask that 72 hours’ notice prior to the start of your first appointment is given in the event of cancellation. In the event of cancellation a full refund will be issued if our cancellation policy has been followed. Please note any refunds due will be processed within 14 working days.
